The SWSA Board will meet regularly throughout the season.

SCHEDULE
The last board meeting was held held 7:00pm, August 17th 2010 at the pool. Minutes will be posted when available.

The final 2010 meeting date will be in September, place , date and time TBD.

Board Meeting Minutes

June 27, 2010

A quorum of board members was present and the meeting was called to order at 6:05pm.  Board members present were Steve, Kent, Salli, Erin, Lottie, Anne, Jacqui, Martin, Katie and Tracy.


Minutes from the April 20, 2010 meeting were approved as written.


Membership—Kent and Lottie

Kent inquired if it was necessary to have two references on the membership form.  The board voted to approve removal of the two references unless having the references was in the by-laws.

Kent also brought up the possibility of members registering and making payments on line by credit card.  Martin will research this and consult with Jacqui.

As of 5/30/2010:  28 memberships were sold, 15 summer memberships were sold and there are 49 on the waiting list.


Credit Card for the Pool--Jacqaui

Currently SWSA purchases a $500 gift card to be used for pool incidental purchases.  These cards cost $4.95 each.  There is the possibility of getting the manager a credit card for pool use.  This was pended until Jacaqui and Katie check with the bank to determine different options. 


Treasurers Report—Jacqui

The current budget looks good.  It reflects the additional $250 damage deposit from Columbia Independence School for damage to the new concrete.  The board approved the budget—see report.


Maintenance—Ed

Thank you Martin for trimming the trees.  There was a $125 charge for trapping animals that were living under the shed.  The board approved replacing the ping pong table and shuffle board equipment.  Salli will look into purchasing a new/used ping pong table, the board approved $75 for this purchase.  Martin will fix the BBQ grill.


Proposals for the spring membership meeting—Steve

Issues that need to be considered:

1)  Fee Increase

2)  Increasing the membership—both general and emeritus

3)  The need to refinance for remodeling


Social--Salli

The first tween party was cancelled due to bad weather.  It was brought up that pizza costs too much and maybe we should have snacks instead of pizza.  There are parties scheduled for 7/30 and 8/11 from 9-11 pm.  The cost is $5.  Chris and Salli will be at the 7/30 party and Tracy and Anne will help at the 8/11 party. 

For the July 4th party when a family arrives with a side dish they will get a ticket.  People with tickets will be allowed to go through the food line first.  Hopefully this will assure that families that are contributing actually get through the food line.

Katie has planned additional family nights on Thursdays.  The activities include movie night, board games, karaoke, and tie dye night.


Manager’s  Report—Katie

Katie has talked to some guards reminding them of job expectations. 

Maddie did training for the teachers for swimming lessons.  It seemed to improve how the swimmers are being taught.   Achievement level cards are being issued to swimmers. 


A few members have expressed desire for the pool to open at 1pm after school has started (8/19).  An estimated cost of this would be $1500 for 12 days.  It would be contingent on Katie being able to find guards that could staff these additional hours.  If Katie can find guards it will be done on a trial basis and the number of people attending will be tracked to see if it is worth the additional cost. 


Swim Team—Chris

The first meet went well including the concessions.  The guards and Katie were very helpful at the meet.  Parents are happy with how the coaches are interacting with the swimmers.  Chris has asked the coaches to promote using the blocks.


Tennis—Anne

Jimmy Hunter and Alison Wolfe are the tennis coaches.  Anne is checking into making some repairs to the courts.  It would be helpful to assure the tennis lessons, swim lessons and swim team are coordinated to allow children to benefit from all of them.


Tax Exempt Status--Steve

Steve will look into SWSA being tax exempt.


General

Erin suggested moving the lounge chairs.  Katie will rearrange for more lounge chairs to be in sunny areas.  For the future SWSA may want to put purchasing of additional chairs, lounge chairs, and tables as a yearly budget item.

Steve clarified that SWSA has a no alcohol policy.


The meeting was adjourned at 7:30 pm.
